When and where is the Convention? The #NABJ25 Convention & Career Fair is scheduled for August 6-10 in Cleveland, OH.
When will the #NABJ25 call for member session proposals open? The Call for Member Session Proposals is open now until midnight PT on Friday, February 14, 2025, for the #NABJ25 Convention & Career Fair scheduled for August 6-10 in Cleveland, OH. This deadline will not be extended.
When will I know if my member session proposal is accepted? Decisions will be made in late-May and notifications will be sent to the organizer shortly thereafter. We ask that you please do not contact NABJ to inquire about the status of your submission.
Do speakers receive complimentary registration? If accepted as a #NABJ25 panelist or moderator, you are eligible for complimentary registration for the DAY of your session. If a panelist or moderator plans to attend the convention beyond the DAY of their session, we offer a $150 discount registration rate. Pre-registered panelists and moderators who have paid more than the discounted speaker rate will be given a refund. The adjustment will appear as a credit to the balance, or credited back to the original payment method.
Do session organizers receive complimentary registration? Unless you are an NABJ partner, session organizers must be members of NABJ in good standing. Session organizers whose submissions are accepted do not receive complimentary registration benefits unless they are an approved session panelist or a moderator as well.

If you are interested in being considered as a panelist or moderator, please complete the #NABJ25 Panelist and Moderator Interest Form by Monday, March 17, 2025. NABJ does not guarantee placement. We will be in contact if there's a session match.

#NABJ25 Partner Room Sets, Speaker Limits, Signage and Deadlines

Room Set – Max theater set per room capacity, head table for 4pp, lectern, stage for larger rooms
AV – Mic at lectern, up to four table mics at head table, Laptop, LCD projector with advancer and screen, PC and MAC connector cables (HDMI, lightning, etc.); MAC/PC switcher, Microsoft Office software, partner logo on screen
F&B – If F&B is not included in the agreement, the partner will work directly with the assigned hotel rep once approved by NABJ.

Breakfasts / Luncheons
Room Set – Max banquet (rounds with 10pp per round) set per room capacity, lectern, stage

Room sets and layouts will be provided by the NABJ Programming Team after confirming with the venue and Fire Marshal. Additional needs outside of the above sets will be at the partner’s expense. Organizers for half and full-day partner sessions will work directly with the NABJ Programming Team and the venue rep to confirm their room layout.

Speaker Limits (Unless otherwise noted on the agreement)

90-minute Sessions - Up to 4 panelists and 1 moderator
Screenings & Clips and Conversations - Up to 4 panelists and 1 moderator
Receptions - Up to 2 speakers for opening and closing remarks
Half-day Sessions - Up to 6 panelists and 2 moderators
Full-Day Sessions - Up to 12 panelists and 2 moderators

Signage

Hard copy signage will only be provided for partner breakfasts, luncheons, and NABJ partnered signature events (i.e. Newsmaker Plenary, Salute to Excellence, Gospel Brunch). The Huntington Convention Center’s built-in room reader boards will be used for all other partner sessions and events.

Deadlines

The deadline to submit partner sessions and events is May 30, 2025. This includes the event title, description, tracks, and speakers (to include job titles, affiliation, headshots, and email addresses).

Partners may email speaker updates to vjeparker@nabj.org and programming@nabj.org until Monday, July 7th.
